What's inside

Five tabs, and each one does a single job

Inventory

One row per product, with its price, what it cost you, where it is and the minimum you want to keep. Stock updates on its own and the row turns red when it's time to reorder.

Incoming

Stock that arrives, with its unit cost and who you bought it from. What you log here is added to your stock.

Outgoing

Everything that leaves, with a reason: sale, shrinkage, transfer to another store, internal use or return to the supplier. That way shrinkage can't hide as a sale.

Stock count

Pick the product, type what you counted on the shelf and the template shows the difference against what should be there.

Summary

How many units you have, how much money is in stock, which products need reordering, the total by category and how many units left for each reason.

How to use it

Inventory control, in three steps

  1. 1

    List your stock

In “Inventory”, one row per product: its price, its cost, how many units you have today and the minimum you don't want to go below.

  2. 2

Log what comes in and what goes out

What arrives goes in “Incoming”; what sells, spoils or moves to another store goes in “Outgoing” with a reason. Stock moves on its own.

  3. 3

    Count and compare

When you count the shelf, write it down in “Stock count”. The difference shows in red and the “Summary” tells you what to reorder.

Who it's for

For any business that buys, stores and sells product

A corner store, a stationery shop, an auto parts counter, a gift shop or a small warehouse: if you keep product on a shelf, you need to know how much there is, what it's worth and when to reorder. This template is that sheet, without building it from scratch. If you sell clothing or jewelry, there's a template made for your trade.

Frequently asked questions

See all free tools
Is the template free?

Yes. Leave your email and it downloads right away. No card, no account.

Does it work in Google Sheets and on my phone?

Yes. It's built with formulas that work the same in Excel, Google Sheets and the Excel mobile app. For Google Sheets, upload it to your Drive and open it from there.

Does it work for my kind of business?

Yes. It's the general template: product, category, location, price, cost, stock and minimum, which is what any business with stock needs. Swap the summary categories for your own. If you sell clothing by size or jewelry, there's a template made for each.

What's the difference between this and inventory control?

None, really. The template is the sheet; inventory control is the habit of filling it in: logging every arrival the day it comes, every outgoing unit with its reason, and counting the shelf now and then. The template gives you the sheet; the discipline is yours.

How do I record shrinkage or a transfer?

In “Outgoing”, just like a sale, but with its reason: Shrinkage, Transfer or Internal use. It comes off stock like any other outgoing unit, and the “Summary” tells you how many units left for each reason, which is what lets you see if something is going missing.

What if I switch to Arca later?

You don't start from scratch. Save the “Inventory” tab as a CSV and upload it in Arca under Products, Import (from the Basic plan up). Your products come in with their price, cost and current stock.

What do you do with my email?

We use it to send you the template and, only if you ticked the box, to send you business tips now and then. We don't sell or share it, and you can unsubscribe anytime.

When the spreadsheet isn't enough

The same inventory, taken off automatically with every sale

The sheet works as long as one person fills it in and remembers to log every outgoing unit. As soon as two people sell, or the sale happens at the counter and the sheet lives on the computer in the back, the spreadsheet and the shelf drift apart. Arca does what this template does, but on its own: you record the sale with your phone's barcode scanner and stock goes down right then, with its average cost and its stock ledger.

And you don't start from scratch: from the Basic plan up, upload the “Inventory” tab and your whole catalog comes in with prices, costs and stock.
