Inventory
One row per product, with its price, what it cost you, where it is and the minimum you want to keep. Stock updates itself and what needs reordering turns red.
Incoming
What your supplier delivers, with its cost per unit. Whatever you enter here adds to your stock.
Outgoing
Everything that takes stock away, with its reason: sale, shrinkage, transfer, internal use or return to supplier.
Stock count
Pick the product, type what you counted on the shelf and the template shows the difference against what should be there.
Summary
How many units you have, how much money is in stock, what needs reordering and the total by category, with this trade's categories already set.
How to use it
Your inventory, in three steps
- 1
Add your products
In “Inventory”, one row per product: its price, its cost, how many you have today and the minimum before reordering.
- 2
Log what comes in and goes out
Deliveries go in “Incoming”; what's sold or lost goes in “Outgoing” with its reason. Stock moves by itself.
- 3
Count and compare
When you count the shelf, enter it in “Stock count”. The difference shows in red and “Summary” tells you what to reorder.
Who it's for
For grocery stores and corner shops
If you buy from several suppliers and sell lots of low-priced items, the hard part isn't charging: it's knowing what to order and how much money is tied up. This sheet tells you, no notebook needed.
Frequently asked questions
See all free toolsIs the template free?
Yes. Leave your email and it downloads right away. No card, no account.
Does it work in Google Sheets and on my phone?
Yes. It's built with formulas that work the same in Excel, Google Sheets and the Excel mobile app. For Google Sheets, upload it to your Drive and open it from there.
How do I do a grocery store inventory in Excel?
Start with what you sell most: one row per product with its price, cost, today's stock and minimum. Then log what comes in and goes out. You don't need the whole store on day one.
What if I switch to Arca later?
You don't start from scratch. Save the “Inventory” tab as a CSV and upload it in Arca under Products, Import (from the Basic plan up). Your products come in with their price, cost and current stock.
What do you do with my email?
We use it to send you the template and, only if you ticked the box, to send you business tips now and then. We don't sell or share it, and you can unsubscribe anytime.
When Excel falls short
The same inventory, updated by every sale
The sheet works as long as someone remembers to log every sale. With Arca, each sale takes stock down by itself, from your phone or the counter computer.
And you don't start over: from the Basic plan you upload the “Inventory” tab and your catalog comes in whole, with prices, costs and stock.
